Caravan Holidays North Wales – Guest Terms and Conditions
1. Introduction
1.1 These Terms and Conditions govern the agreement between Caravan Holidays North Wales ("CHNW", "we", "us", or "our") and the guest ("Hirer", "you", or "your") booking a caravan through CHNW.
1.2 By booking with CHNW, you confirm you have read, understood, and agree to these Terms and Conditions.
1.3 These Terms, together with your Booking Confirmation, form the entire agreement between you and CHNW.
2. Definitions
- Arrival Date: Date your hire begins
- Booking: Your reservation of a caravan
- Booking Confirmation: Written/electronic confirmation from CHNW with booking details
- Caravan: The holiday caravan you have booked
- Check-in Time: 16:00 (strictly, unless otherwise agreed in writing)
- Check-out Time: 10:00 (strictly, unless otherwise agreed in writing)
- Damage: Any loss or damage to the caravan or its contents beyond normal wear and tear
- Deposit: Security deposit, if required by CHNW and owner agreement
- Guest: Any person staying at the caravan during your booking
- Hirer: The person making the booking (must be 18+)
- Park Rules: The rules of the holiday park where the caravan is located
- Personal Belongings: Your personal property brought into the caravan
- Total Cost of Holiday: Total sum payable for the caravan hire, including any extras
3. Booking & Payment
3.1 Booking ProcessBookings can be made via CHNW's website, by phone, or through approved third-party platforms. The Hirer must be 18 years or older. A booking is only confirmed upon receipt of a Booking Confirmation from CHNW.
3.2 PaymentPayment terms and deadlines are detailed in your Booking Confirmation.
- Payment methods: bank transfer or credit card (as specified).
- Failure to pay by the due date may result in cancellation and loss of any fees paid.
3.3 Changes & Cancellations
- Any booking changes must be requested in writing and are subject to availability and CHNW's discretion.
- Cancellations must be communicated in writing. Refunds are subject to the terms in your confirmation.
- CHNW recommends comprehensive travel insurance to cover unforeseen cancellations or curtailments.
4. Security Deposit, Deductions & Damages
4.1 Security Deposit
4.1.1 We routinely collect a refundable security deposit (the "Deposit"). The standard Deposit is £50, unless otherwise stated on the listing or at the time of booking.
4.1.2 The Deposit is held as security for amounts you may owe us (or the owner) arising from your stay, including (without limitation):
- Damage to the Caravan, its contents, fixtures, fittings, decking, keys, key safes, or any associated equipment;
- Missing items, breakages, or replacement costs;
- Additional cleaning required beyond a reasonable domestic standard (including but not limited to stained soft furnishings, excessive mess, pet hair where pets were not authorised, or odour removal);
- Waste disposal charges where rubbish is not removed;
- Late check-out charges;
- Undeclared or unauthorised supplements/charges, including but not limited to:
- Pet supplement(s) (£15 per stay) where pets were brought without prior written agreement;
- Additional guests/over-occupancy;
- Use of linen/bedding/towels provided for owner/management use (£25 charge) where linen/bedding use was not included in your booking or was not agreed in writing;
- Any park charges, penalties, or fines incurred due to your breach of Park Rules (where such charges are passed to us or the owner).
4.1.3 You authorise us to deduct any sums properly due under these Terms from the Deposit.
4.2 Evidence and notification of deductions
4.2.1 Where we intend to make a deduction, we will (where reasonably possible) provide evidence such as photographs, cleaner/maintenance reports, invoices/quotes, or park correspondence.
4.2.2 We will notify you of any proposed deduction(s) and the reason(s) for them as soon as reasonably practicable after check-out.
4.3 Deposit return timescale
4.3.1 The Deposit will be returned once the Caravan has been checked following your departure and we have been notified by the cleaner/owner (or our representative) that no issues have been identified.
4.3.2 We aim to return the Deposit within 7 days of check-out, but this may take longer where we are awaiting reports, quotations, invoices, or park confirmation.
4.3.3 You must provide valid bank details promptly to enable the return of the Deposit.
4.4 If costs exceed the Deposit
4.4.1 If the cost of any damage, loss, additional cleaning, supplements, or other charges exceeds the Deposit, you remain liable for the full amount.
4.4.2 We may invoice you for any outstanding balance and you must pay within 7 days of the invoice date (unless otherwise stated).
4.4.3 If you fail to pay, we reserve the right to pursue recovery through third parties and/or legal action.
4.5 Fair wear and tear
4.5.1 Fair wear and tear means natural deterioration from normal use and ageing. It does not include negligence, misuse, staining, breakage, missing items, or damage caused by guests or pets.
5. Arrival & Departure
5.1 Check-in & Check-out
- Check-in: From 16:00 (strictly, unless otherwise agreed in writing)
- Check-out: By 10:00 (strictly, unless otherwise agreed in writing)
Early check-in or late check-out may be available by prior arrangement and may incur additional fees.
Late check-out charge: If you do not vacate by 10:00, a charge of £5 per hour (or part-hour) will apply until the Caravan is vacated, to reflect disruption to cleaning and incoming guests. This charge will be deducted from the Deposit (or invoiced/charged separately where no Deposit is held).
6. Guest Responsibilities
6.1 Care of the Caravan
- Maintain the caravan in a clean and tidy state.
- Remove all rubbish to the designated bins.
- Clean all surfaces and ensure all kitchenware is washed and dried.
- Leave toilets in a sanitary condition.
Please note a waste disposal fee of £15.00 is chargeable if rubbish is not removed before check-out.
6.2 Occupancy & Conduct
- Only those named on your booking may occupy the caravan.
- Over-occupancy is not permitted and may result in eviction without refund.
- No smoking inside the caravan.
- No illegal substances.
- Barbecues are not permitted inside or on decking.
- Pets are only allowed if agreed in writing.
- No youth groups or same-sex parties.
- The Hirer must be present for the duration of the stay and is responsible for all guests' conduct.
6.3 Reporting Issues
The Hirer must inspect the caravan on arrival and report any defects or damage to CHNW before 8 pm on the day of arrival. Unreported issues may be deemed the responsibility of the Hirer.
7. Owner & CHNW Responsibilities
- The caravan will be provided clean, safe, and ready for occupation at check-in.
- Maintenance issues not caused by guest negligence will be resolved promptly.
- If the booked caravan becomes unavailable, CHNW will offer a suitable alternative or a refund.
- CHNW is not responsible for the standard of cleanliness where cleaning is arranged directly by the owner.
8. Insurance
CHNW does not insure guests' personal belongings or cover accidents during the stay. Guests are strongly advised to arrange their own comprehensive travel insurance.
9. Access & Data Protection
- CHNW or its representatives may require access to the caravan for maintenance or emergencies, with reasonable notice where possible.
- Personal data is handled in accordance with GDPR and all applicable UK data protection laws and is only used for booking and administrative purposes.
10. Governing Law & Dispute Resolution
- These Terms and Conditions are governed by English law.
- Disputes should be raised with CHNW in the first instance for informal resolution.
- If unresolved, disputes will be referred to mediation before legal action.
- The courts of England and Wales have exclusive jurisdiction.
11. Amendments
CHNW reserves the right to amend these Terms & Conditions at any time. Notice will be provided for any changes. Continued use of CHNW services after amendments constitutes acceptance of these terms.
