3.2 Payment

Payment terms and deadlines are detailed in your Booking Confirmation.
Payment methods: bank transfer or credit card (as specified). Failure to pay by the due date may result in cancellation and loss of any fees paid.

3.3 Changes & Cancellations

Any booking changes must be requested in writing and are subject to availability and NWCH’s discretion. Cancellations must be communicated in writing. Refunds are subject to the terms in your confirmation. NWCH recommends comprehensive travel insurance to cover unforeseen cancellations or curtailments.

4. Security Deposit & Damages

4.1 Security Deposit

If a deposit is required, this will be agreed in advance and confirmed in writing. NWCH reserves the right to request a deposit at its discretion in consultation with the caravan owner. The deposit will be returned to the Guest no later than 7 days after the guest stay assuming bank details are received in good time and assuming 4.2 does not come into effect.

4.2 Damage & Liability

The Hirer is responsible for any damage or loss caused during the stay, except for fair wear and tear. All damages must be reported to NWCH as soon as possible. If a deposit was taken, NWCH may deduct costs from the deposit. If no deposit was taken, the Hirer will be invoiced directly. Unpaid damages will be pursued via legal means if not settled. Fair wear and tear is defined as natural deterioration from normal use and aging; it does not include damage from negligence or misuse.

4.3 Refunds

4.3.1 North Wales Caravan Holidays and any other trading names will not be held responsible for any gas canisters running out during the Guest stay. Refunds will not be given to Guests based on the lack of gas supply or due to gas canisters becoming empty during the stay.
4.3.2 The decision to issue refunds remains entirely at the discretion of North Wales Caravan Holidays and its trading names.

6. Guest Responsibilities

6.1 Care of the Caravan

Maintain the caravan in a clean and tidy state. Remove all rubbish to the designated bins. Clean all surfaces and ensure all kitchenware is washed and dried. Leave toilets in a sanitary condition. A waste disposal fee of £15.00 is chargeable if rubbish is not removed before check-out.

6.2 Occupancy & Conduct

Only those named on your booking may occupy the caravan. Over-occupancy is not permitted and may result in eviction without refund. No smoking inside the caravan. No illegal substances. Barbecues are not permitted inside or on decking. Pets are only allowed if agreed in writing and are subject to a £15 supplement fee. No youth groups or same-sex parties. The Hirer must be present for the duration of the stay and is responsible for all guests’ conduct.

6.3 Reporting Issues

The Hirer must inspect the caravan on arrival and report any defects or damage to NWCH before 8 pm on the day of arrival. Unreported issues may be deemed the responsibility of the Hirer.

7. Owner & NWCH Responsibilities

The caravan will be provided clean, safe, and ready for occupation at check-in. Maintenance issues not caused by guest negligence will be resolved promptly. If the booked caravan becomes unavailable, NWCH will offer a suitable alternative or a refund. NWCH is not responsible for the standard of cleanliness where cleaning is arranged directly by the owner.

8. Insurance

NWCH does not insure guests’ personal belongings or cover accidents during the stay. Guests are strongly advised to arrange their own comprehensive travel insurance.

9. Access & Data Protection

NWCH or its representatives may require access to the caravan for maintenance or emergencies, with reasonable notice where possible. Personal data is handled in accordance with GDPR and all applicable UK data protection laws and is only used for booking and administrative purposes.

10. Governing Law & Dispute Resolution

These Terms and Conditions are governed by English law. Disputes should be raised with NWCH in the first instance for informal resolution. If unresolved, disputes will be referred to mediation before legal action. The courts of England and Wales have exclusive jurisdiction.
