Guest Terms and Conditions

These Terms and Conditions apply when you book holiday accommodation through Caravan Holidays North Wales, trading name of VNPD Properties Limited.
Please read these Terms carefully before making a booking. By making a booking, paying any amount towards a booking, completing online check-in, paying a security deposit, or staying in one of our caravans, you confirm that you have read, understood and agree to these Terms.

1. Introduction and Contracting Parties
1.1 These Terms and Conditions apply when you book holiday accommodation through Caravan Holidays North Wales, trading name of VNPD Properties Limited.
1.2 Unless your Booking Confirmation states otherwise, Caravan Holidays North Wales acts as disclosed booking and management agent for the caravan owner.
1.3 Your accommodation contract is between you, the Hirer, and the caravan owner named or identified in your Booking Confirmation.
1.4 Caravan Holidays North Wales is not the supplier of the holiday accommodation and does not provide the accommodation in its own right unless your Booking Confirmation clearly states that the caravan is owned and supplied by VNPD Properties Limited t/a Caravan Holidays North Wales.
1.5 The Owner appoints Caravan Holidays North Wales to manage the guest relationship on the Owner’s behalf. This means all guest communication, booking administration, check-in information, payment administration, issue reporting, complaints, security deposit matters and general guest support will be handled through Caravan Holidays North Wales as the Owner’s agent.
1.6 Guests should contact Caravan Holidays North Wales only, unless Caravan Holidays North Wales confirms otherwise in writing. Guests should not contact the Owner directly unless direct contact is specifically authorised.
1.7 These Terms, together with your Booking Confirmation, form the accommodation agreement between you and the Owner. Caravan Holidays North Wales is authorised by the Owner to administer the booking and communicate with you on the Owner’s behalf.

2. Definitions
In these Terms:
Agent / CHNW / We / Us / Our means VNPD Properties Limited trading as Caravan Holidays North Wales, acting as disclosed booking and management agent for the Owner, unless expressly stated otherwise.
Owner means the individual or legal entity that owns, controls or has the right to let the caravan and who is the supplier of the holiday accommodation to the guest.
Hirer / You / Your means the person making the booking, who must be aged 18 or over.
Guest means any person staying in or visiting the caravan during the booking.
Booking means your reservation of the caravan for the agreed dates.
Booking Confirmation means the written or electronic confirmation issued by Caravan Holidays North Wales as agent on behalf of the Owner.
Accommodation Contract means the contract between the Hirer and the Owner for the supply of the holiday accommodation.
Caravan means the holiday caravan you have booked.
Arrival Date means the date your stay begins.
Check-in Time means 4:00pm, unless otherwise agreed in writing.
Check-out Time means 10:00am, unless otherwise agreed in writing.
Client/Holding Account means a separate account used by Caravan Holidays North Wales to hold guest booking funds as agent on behalf of caravan owners.
Owner Funds means booking monies collected by Caravan Holidays North Wales as agent on behalf of the Owner. These funds are held for the Owner and are not Caravan Holidays North Wales’ own accommodation income.
Security Deposit / Deposit means any refundable security deposit collected and held as security against damage, missing items, additional cleaning, key loss, breach of rules, unpaid charges or other sums properly due.
Damage means any loss, damage, breakage, staining, missing items, misuse or deterioration beyond fair wear and tear.
Park Rules means the rules, policies and requirements of the holiday park where the caravan is located.
Total Cost of Holiday means the total sum payable for the caravan hire, including any agreed extras, charges, supplements, platform charges or other amounts confirmed at the time of booking.

3. Agency Status and Guest Management
3.1 Caravan Holidays North Wales acts as booking and management agent for the Owner.
3.2 The Owner is responsible for supplying the holiday accommodation to you.
3.3 Caravan Holidays North Wales is authorised by the Owner to:
- advertise the caravan;
- accept and administer bookings;
- issue booking confirmations;
- collect guest payments as agent for the Owner;
- hold guest funds on behalf of the Owner;
- deduct agreed and authorised charges;
- coordinate cleaning, maintenance reports and check-in arrangements;
- communicate with guests before, during and after the stay;
- administer cancellations, refunds, deposits and deductions in accordance with these Terms;
- manage guest issues, complaints and communication on behalf of the Owner.
3.4 Caravan Holidays North Wales does not own, supply or let the caravan in its own right unless this is expressly stated in your Booking Confirmation.
3.5 Where a caravan is owned by VNPD Properties Limited or Caravan Holidays North Wales, this will be stated in the Booking Confirmation and Caravan Holidays North Wales will be the accommodation supplier for that booking.
3.6 Where a matter requires the Owner’s decision, approval or instruction, Caravan Holidays North Wales may refer the matter to the Owner before confirming any response, refund, repair, deduction, cancellation decision or other outcome.

4. Booking Process
4.1 Bookings can be made through Caravan Holidays North Wales’ website, by phone, by message, by email, or through approved third-party booking platforms.
4.2 The Hirer must be aged 18 or over.
4.3 A booking is only confirmed when Caravan Holidays North Wales issues a Booking Confirmation as agent on behalf of the Owner.
4.4 The Booking Confirmation should identify:
- the caravan booked;
- the holiday park;
- the arrival and departure dates;
- the total price payable;
- the Owner as the accommodation supplier, or how the Owner is identified;
- Caravan Holidays North Wales as booking and management agent;
- any extras included or separately payable;
- any specific rules, restrictions or conditions relevant to the caravan or park.
4.5 The Hirer is responsible for checking the Booking Confirmation carefully and notifying Caravan Holidays North Wales immediately if any information is incorrect.
4.6 Only guests included on the booking or provided to Caravan Holidays North Wales before arrival may stay overnight.
4.7 The number of guests must not exceed the maximum occupancy stated for the caravan.

5. Payment
5.1 Payment terms and deadlines are set out in your Booking Confirmation or payment request.
5.2 Payments may be made by bank transfer, card payment, third-party platform payment or any other payment method approved by Caravan Holidays North Wales.
5.3 Unless otherwise stated, Caravan Holidays North Wales collects guest payments as agent on behalf of the Owner.
5.4 Guest payments collected by Caravan Holidays North Wales are held as Owner Funds and are not treated as Caravan Holidays North Wales’ own accommodation income.
5.5 Caravan Holidays North Wales may hold guest payments in a separate client/holding account or other account designated for holding owner funds.
5.6 The Owner authorises Caravan Holidays North Wales to deduct agreed and authorised sums from Owner Funds, including but not limited to:
- agency or management commission payable by the Owner to Caravan Holidays North Wales;
- booking platform fees;
- payment processing fees;
- cleaning charges;
- linen or bedding charges;
- pet supplements;
- early check-in or late check-out fees;
- security deposit deductions;
- agreed owner charges;
- refunds;
- cancellation deductions;
- maintenance or replacement costs;
- any other charges authorised under the Owner agreement or these Terms.
5.7 Only Caravan Holidays North Wales’ own booking, agency, management, administration or service charges belong to Caravan Holidays North Wales.
5.8 Failure to pay by the required deadline may result in cancellation of the booking. Any refund will be dealt with in accordance with the cancellation terms applicable to your booking.
5.9 If a payment is reversed, charged back, disputed, dishonoured or recalled after a booking is confirmed, the booking may be treated as unpaid. Caravan Holidays North Wales may, as agent for the Owner, cancel the booking, refuse access, seek repayment or pursue recovery of the unpaid amount and any reasonable costs incurred.
5.10 Prices include VAT where applicable unless stated otherwise.

6. Third-Party Booking Platforms
6.1 Where a booking is made through a third-party platform, such as Airbnb, Booking.com, Vrbo or another approved platform, that platform’s own terms and policies may also apply.
6.2 If there is a conflict between these Terms and the platform terms, the platform terms may apply to the extent required by that platform.
6.3 However, guest conduct, caravan care, damage, smoking, vaping, security, keys, pets, check-in, check-out, Park Rules and guest responsibility obligations in these Terms continue to apply where they are not inconsistent with the platform terms.
6.4 Platform service fees, payment processing fees or other platform charges are controlled by the relevant platform and may not be refundable by Caravan Holidays North Wales or the Owner.

7. Changes and Cancellations
7.1 Any request to change a booking must be made in writing to Caravan Holidays North Wales.
7.2 Caravan Holidays North Wales will administer change requests as agent on behalf of the Owner.
7.3 Changes are subject to availability, Owner approval where required, platform restrictions and any additional charges.
7.4 Cancellations must be communicated in writing.
7.5 Refunds are subject to the cancellation policy stated in your Booking Confirmation, the listing, the relevant booking platform or any written terms agreed at the time of booking.
7.6 Unless otherwise stated in your Booking Confirmation, the following cancellation principles may apply:
- cancellation charges may apply depending on how close the cancellation is to the Arrival Date;
- non-refundable deposits or booking fees may be retained where stated at the time of booking;
- where the dates can be re-let, the Owner may, at their discretion and where reasonable, refund part of the amount paid after deducting any shortfall, platform fees, payment fees, administration charges and costs already incurred;
- if the dates cannot be re-let, you may remain liable for the cancellation charges stated in your booking terms.
7.7 Caravan Holidays North Wales may, as agent for the Owner, try to re-let cancelled dates but is not obliged to do so.
7.8 Caravan Holidays North Wales administers refunds on behalf of the Owner. Unless Caravan Holidays North Wales is expressly stated to be the accommodation supplier, any refund of accommodation charges is the responsibility of the Owner and will be processed by Caravan Holidays North Wales as agent from Owner Funds where available.
7.9 Caravan Holidays North Wales strongly recommends that guests take out comprehensive travel insurance to cover cancellation, illness, travel disruption, curtailment and other unforeseen circumstances.

8. Security Deposit, Deductions and Damages
8.1 Security Deposit
8.1.1 A refundable security deposit may be required. The standard security deposit is currently £75, unless otherwise stated at the time of booking.
8.1.2 The security deposit must be paid before your stay. Access details, key codes or check-in instructions may be withheld until the security deposit has been received.
8.1.3 The security deposit is collected and held by Caravan Holidays North Wales as agent/stakeholder on behalf of the Owner and/or any party entitled to recover charges under these Terms.
8.1.4 The security deposit may be used for sums properly due as a result of your stay, including but not limited to:
- damage to the caravan;
- damage to contents, fixtures, fittings, decking, keys, key safes, locks, lockboxes or equipment;
- missing items or replacement costs;
- additional cleaning beyond a reasonable standard;
- excessive mess;
- rubbish removal;
- food left in cupboards, fridges or freezers;
- pots, pans, crockery, cutlery, utensils or kitchen items left unwashed;
- smoke, vape or odour remediation;
- stained soft furnishings, bedding, carpets, curtains, mattresses, mattress protectors, pillows, quilts or throws;
- unauthorised pets;
- pet damage, pet hair, pet odour, pet fouling or pet-related additional cleaning;
- late check-out charges;
- undeclared guests;
- over-occupancy;
- unauthorised use of linen, bedding or towels;
- park charges, penalties or fines caused by your breach of Park Rules;
- key loss, key removal, non-return of keys, locksmith charges or security call-out costs;
- loss of income or disruption to incoming guests where caused by your breach.
8.1.5 You authorise Caravan Holidays North Wales, acting as agent for the Owner, to deduct properly evidenced sums from the security deposit.
8.1.6 Where a deduction relates to a charge due to Caravan Holidays North Wales directly, such as an administration charge or Caravan Holidays North Wales service charge, Caravan Holidays North Wales may retain that amount as its own income.

8.2 Additional Cleaning Charges
8.2.1 Guests are expected to leave the caravan in a reasonable, clean and tidy condition, allowing for normal holiday use.
8.2.2 A standard changeover clean is carried out between bookings. Guests are not expected to deep-clean the caravan, but they must leave it in a reasonable condition.
8.2.3 Where the caravan is left in a condition that requires extra cleaning time beyond the standard changeover clean, a minimum additional cleaning charge of £15 may be deducted from the security deposit or charged separately.
8.2.4 This may include, but is not limited to:
- rubbish left inside the caravan;
- rubbish left on decking, outside areas or around the caravan;
- food left in cupboards, fridges or freezers;
- pots, pans, trays, crockery, cutlery, glasses or utensils left unwashed;
- excessive mess;
- spillages, marks or stains requiring additional cleaning;
- surfaces, toilets, floors or outdoor areas left in an unreasonable condition;
- pet hair, pet odour, pet fouling or pet-related cleaning;
- smoke, vape or strong odour remediation;
- furniture or items moved and not returned to their original position.
8.2.5 Where the actual reasonable cost of additional cleaning exceeds £15, the higher amount may be deducted from the security deposit or charged separately.
8.2.6 Additional cleaning charges reflect the extra time and cost charged by cleaners or other service providers.
8.2.7 Normal holiday use and fair wear and tear will not be charged.

8.3 Evidence and Notification
8.3.1 Where a deduction is proposed, Caravan Holidays North Wales will, where reasonably possible, provide evidence such as photographs, cleaner reports, owner reports, maintenance reports, invoices, quotes, videos or park correspondence.
8.3.2 Caravan Holidays North Wales will notify you of proposed deductions as soon as reasonably practicable after check-out.
8.3.3 You accept that some issues, such as odour, smoke, vaping, damp, cleanliness, pet hair or misuse, may not always be capable of being shown clearly in photographs.

8.4 Disputed Deductions
8.4.1 If you dispute a proposed deduction, you must notify Caravan Holidays North Wales in writing within 48 hours of receiving the deduction notice and explain the reason for the dispute.
8.4.2 Caravan Holidays North Wales will review any evidence provided by you, the Owner, cleaner, park, maintenance provider or other relevant party before making a final decision on behalf of the Owner.
8.4.3 Undisputed amounts may be returned while a disputed amount is retained pending resolution.

8.5 Deposit Return Timescale
8.5.1 The deposit will be returned once the caravan has been checked following departure and no issues have been identified.
8.5.2 Caravan Holidays North Wales aims to return security deposits within 7 days of departure where no issues have been identified.
8.5.3 The deposit return may take longer where damage, missing items, additional cleaning, key issues, park charges, owner approval, cleaner reports, quotes, invoices, bank details, bank processing times or further investigation are required.
8.5.4 Any undisputed balance may be returned while a disputed amount is retained pending review.
8.5.5 You must provide valid bank details promptly to allow the deposit to be returned.

8.6 If Costs Exceed the Deposit
8.6.1 If the cost of damage, loss, additional cleaning, missing items, key/security issues or other charges exceeds the deposit, you remain liable for the balance.
8.6.2 Caravan Holidays North Wales may issue an invoice or payment request on behalf of the Owner and/or in respect of any sums due to Caravan Holidays North Wales directly.
8.6.3 Payment must be made within 7 days of request unless otherwise stated.
8.6.4 If payment is not made, recovery action may be taken by the Owner, Caravan Holidays North Wales or a third party acting on their behalf.

8.7 Fair Wear and Tear
8.7.1 Fair wear and tear means natural deterioration from normal holiday use and ageing.
8.7.2 Fair wear and tear does not include negligence, misuse, staining, breakage, missing items, pet damage, smoke/vape contamination, excessive mess, avoidable damage or damage caused by guests, visitors, children or pets.

9. Arrival and Departure
9.1 Check-in is from 4:00pm, unless early check-in has been agreed in writing.
9.2 Check-out is by 10:00am, unless late check-out has been agreed in writing.
9.3 Early check-in and late check-out are subject to availability and may incur additional charges.
9.4 If you do not vacate by the agreed check-out time, a late check-out charge may apply and may be deducted from the security deposit or charged separately.
9.5 Late check-out may also result in additional cleaning charges, guest disruption charges or loss of income where it affects incoming guests.
9.6 Unless otherwise confirmed in writing, keys must be returned exactly as instructed, for example placed back into the key safe or lockbox and secured.

10. Guest Responsibilities
10.1 You must take reasonable care of the caravan and leave it in a clean and tidy condition.
10.2 Before check-out, you must:
- remove rubbish to the designated bins;
- wash, dry and put away pots, pans, trays, crockery, glasses, cutlery and utensils;
- empty food from cupboards, fridges and freezers;
- wipe surfaces;
- leave toilets in a sanitary condition;
- return furniture, remotes and other items to their original places;
- remove all personal belongings;
- secure doors and windows;
- return keys as instructed.
10.3 A minimum additional cleaning charge of £15 may apply if the caravan is left in a condition requiring extra cleaning time beyond the standard changeover clean.
10.4 A waste disposal charge may apply if rubbish is left inside or around the caravan.
10.5 Only guests named on the booking may stay in the caravan.
10.6 Over-occupancy is not permitted and may result in termination of the stay without refund.
10.7 The Hirer must be present for the duration of the stay and is responsible for the conduct of all guests, visitors, children and pets connected with the booking.
10.8 Where more than one adult is included in the booking, each adult may be held jointly and individually responsible for damage, loss, breach of terms or unpaid charges.
10.9 Smoking and vaping are strictly prohibited inside the caravan.
10.10 Smoking or vaping is also prohibited near doors, windows or any area where smoke or vapour may enter the caravan.
10.11 No illegal substances are permitted.
10.12 Barbecues must not be used inside the caravan or on decking.
10.13 Pets are only permitted where agreed in writing before arrival.
10.14 No parties, events, youth groups or unauthorised group bookings are permitted.
10.15 You must comply with all Park Rules.
10.16 Breach of these Terms or Park Rules may result in removal from the park or termination of the stay without refund.

11. Holiday Use Only
11.1 The caravan is provided for short-term holiday accommodation only.
11.2 The booking does not create a tenancy, assured shorthold tenancy, residential licence, right of occupation as a main residence, or any right to remain beyond the agreed holiday period.
11.3 You must not use the caravan as your main residence, postal address, workplace, business address or for any commercial purpose.
11.4 You must leave the caravan by the agreed Check-out Time on the departure date.

12. Reporting Issues
12.1 You must inspect the caravan on arrival.
12.2 Any defects, damage, missing items or cleanliness issues must be reported to Caravan Holidays North Wales as soon as possible and no later than 8:00pm on the day of arrival, unless the issue could not reasonably have been discovered by then.
12.3 Caravan Holidays North Wales will report issues to the Owner and/or relevant cleaner, maintenance provider or park team as appropriate.
12.4 If you fail to report an issue promptly, it may be more difficult to verify whether it existed before your stay, and you may be held responsible where evidence supports this.
12.5 If you have a problem during your stay, you must report it to Caravan Holidays North Wales as soon as reasonably possible so that Caravan Holidays North Wales can raise it with the Owner, cleaner, park or maintenance provider.
12.6 If you do not report an issue during your stay and allow a reasonable opportunity to investigate or resolve it, this may affect any refund, compensation or remedy available.

13. Keys, Key Safes and Security
13.1 Keys must be kept secure at all times.
13.2 Keys must not be removed from the holiday park unless agreed in writing.
13.3 Keys must be returned at check-out exactly as instructed.
13.4 Key safes, lockboxes and access systems must be secured after use.
13.5 If keys are removed, lost, not returned, or the caravan is left unsecured, you must notify Caravan Holidays North Wales immediately.
13.6 Where keys are removed, lost, not returned or the caravan is left unsecured, Caravan Holidays North Wales, the Owner and/or the holiday park may take reasonable steps to secure the caravan and protect the Owner’s property.
13.7 You agree that reasonable costs may be deducted from your security deposit or charged separately, including:
- call-out costs;
- travel costs;
- replacement keys;
- locksmith charges;
- lock changes;
- park/security/warden charges;
- delayed cleaning costs;
- disruption to incoming guests;
- loss of income caused by the key/security incident.

14. Smoking, Vaping and Odour Contamination
14.1 Smoking and vaping are strictly prohibited inside the caravan.
14.2 This includes, without limitation, cigarettes, cigars, pipes, shisha, cannabis/illegal substances and all vaping devices.
14.3 Smoking or vaping is also not permitted in doorways, windows or any area where smoke or vapour may enter the caravan.
14.4 If the caravan smells of smoke, vaping or related residue after your stay, this may be treated as a breach of these Terms.
14.5 Caravan Holidays North Wales may rely on cleaner reports, owner reports, maintenance reports, photographs, videos, invoices, quotes and correspondence as evidence.
14.6 You accept that odour may not always be capable of being shown in photographs.
14.7 Reasonable costs may be deducted from the security deposit or charged separately, including:
- additional cleaning;
- labour time;
- specialist odour removal;
- ozone treatment where required;
- replacement of curtains, cushions, throws, mattress protectors, carpets, bedding or other items where odour cannot reasonably be removed;
- loss of income where the caravan cannot be used for incoming guests because of smoke/vape contamination.
14.8 Smoking or vaping inside the caravan may result in termination of the stay without refund.

15. Pets
15.1 Pets are only permitted where agreed in writing before arrival and where the relevant caravan and holiday park allow pets.
15.2 Any pet supplement must be paid before arrival unless otherwise agreed.
15.3 Pets must not be left unattended in the caravan unless this has been agreed in advance and the pet is safely secured.
15.4 Pets must not be allowed on beds or soft furnishings.
15.5 Guests must clean up after pets immediately and dispose of waste properly.
15.6 Guests are responsible for any pet-related damage, odour, staining, excessive hair, additional cleaning or park penalties.
15.7 Bringing an unauthorised pet may result in termination of the stay without refund and additional charges.
15.8 Assistance dogs should be notified to Caravan Holidays North Wales before arrival so that appropriate arrangements can be confirmed with the Owner and/or holiday park.

16. Park Rules, Facilities and Passes
16.1 You must comply with all Park Rules at all times.
16.2 The caravan may be located on a holiday park with facilities such as entertainment, swimming, restaurants, bars, arcades, activities, shops or play areas.
16.3 Park facilities are operated by the holiday park and not by Caravan Holidays North Wales or the Owner, unless expressly stated otherwise.
16.4 Availability of park facilities may vary and may be subject to additional charges, opening times, park rules, age restrictions, seasonal operation, maintenance, capacity limits or closure.
16.5 Caravan Holidays North Wales and the Owner are not responsible for park facilities being unavailable, restricted, closed, changed, fully booked or chargeable.
16.6 Unless expressly stated in your Booking Confirmation, park passes, entertainment passes and activity passes are not included in the accommodation price.
16.7 Where Caravan Holidays North Wales assists with park passes or third-party services, Caravan Holidays North Wales does so as agent or administrator only unless expressly stated otherwise.
16.8 Guests are responsible for providing any information required by the holiday park for passes, registration, vehicle access or security purposes.

17. Cleaning, Linen and Optional Extras
17.1 Cleaning arrangements vary by caravan and holiday park.
17.2 Cleaning may be arranged by Caravan Holidays North Wales as agent for the Owner, by the Owner directly, by the holiday park or by a third-party cleaner.
17.3 A standard changeover clean is carried out between bookings. This does not remove the guest’s responsibility to leave the caravan in a reasonable, clean and tidy condition.
17.4 Linen, bedding, towels, pet charges, early check-in, late check-out and other extras are only included where stated in the Booking Confirmation.
17.5 Any unauthorised use of linen, bedding or towels may result in additional charges.
17.6 Optional extras may be supplied by the Owner, Caravan Holidays North Wales or a third party depending on the nature of the extra.
17.7 Where optional extras are arranged by Caravan Holidays North Wales, Caravan Holidays North Wales may act as agent, administrator or supplier depending on the arrangement confirmed at the time.
17.8 Charges for optional extras must be paid before arrival unless otherwise agreed.

18. Wi-Fi, Utilities and Services
18.1 Where Wi-Fi is advertised, this means Wi-Fi is available at the caravan to the best of the Owner’s knowledge.
18.2 Wi-Fi speed, signal, reliability and uninterrupted service cannot be guaranteed.
18.3 Caravan Holidays North Wales and the Owner are not responsible for outages, weak signal, network restrictions, park-wide issues or third-party provider failures, but Caravan Holidays North Wales will report issues where reasonably possible.
18.4 Utilities and services may be affected by park supply issues, weather, maintenance, third-party providers or circumstances outside the Owner’s or Caravan Holidays North Wales’ reasonable control.
18.5 Guests must use heating, gas, electricity, water, appliances and caravan facilities responsibly and in accordance with any instructions provided.

19. Property Descriptions and Information
19.1 Property descriptions, photographs, facilities, park information and caravan details are based on information supplied by the Owner, holiday park, previous inspections or third-party sources.
19.2 Caravan Holidays North Wales takes reasonable care when presenting this information but is not responsible for inaccuracies in information supplied by the Owner, holiday park or third parties unless the error was caused by Caravan Holidays North Wales’ own failure to use reasonable care and skill.
19.3 Layout, décor, contents, facilities and park arrangements may change from time to time.
19.4 Guests should check any specific requirements before booking, including pet suitability, accessibility, Wi-Fi, decking, parking, bed layout, passes or park facilities.

20. Owner Responsibilities
20.1 The Owner is responsible for ensuring that the caravan is available for the booking, unless prevented by events outside the Owner’s reasonable control.
20.2 The Owner is responsible for ensuring that the caravan is suitable for holiday letting and complies with applicable safety, insurance, park and legal requirements.
20.3 The Owner is responsible for the condition, safety, repair, maintenance, fixtures, fittings, contents and facilities of the caravan.
20.4 The Owner is responsible for ensuring the caravan is provided clean and ready for occupation, unless cleaning has been arranged separately by the Owner, Caravan Holidays North Wales, the holiday park or another party.
20.5 Caravan Holidays North Wales may coordinate cleaning, maintenance, guest communications and issue reporting as agent on behalf of the Owner.
20.6 The Owner is responsible for ensuring they have the right to let the caravan and that any required park permissions, insurance, gas safety, electrical safety and fire safety requirements are in place.

21. Caravan Holidays North Wales Responsibilities as Agent
21.1 Caravan Holidays North Wales will use reasonable care and skill in providing booking and management services.
21.2 Caravan Holidays North Wales will administer the booking as agent on behalf of the Owner.
21.3 Caravan Holidays North Wales will provide check-in information where supplied or authorised by the Owner.
21.4 Caravan Holidays North Wales will act as the guest-facing contact for booking administration, check-in information, guest queries, maintenance reporting, cleaning concerns, complaints and security deposit matters.
21.5 Caravan Holidays North Wales will pass guest issues to the Owner, cleaner, maintenance provider, holiday park or other relevant party where appropriate.
21.6 Caravan Holidays North Wales will use reasonable efforts to assist with resolving issues during your stay.
21.7 Caravan Holidays North Wales is not responsible for the Owner’s failure to provide the accommodation, the condition of the caravan, park facilities, park closures, Park Rules, third-party services, weather, guest personal belongings or issues outside Caravan Holidays North Wales’ reasonable control.
21.8 Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation or any liability that cannot legally be excluded.

22. If the Caravan Becomes Unavailable
22.1 If the booked caravan becomes unavailable before arrival due to circumstances outside the guest’s control, Caravan Holidays North Wales will notify you as soon as reasonably possible.
22.2 Caravan Holidays North Wales will act as agent for the Owner to assist with one or more of the following options:
- arranging an alternative date;
- offering an alternative caravan managed by Caravan Holidays North Wales, subject to availability and owner agreement;
- arranging a refund of accommodation payments due under the booking terms.
22.3 Any alternative caravan may be owned by a different owner. If accepted, a new or amended accommodation contract may be formed with the owner of the alternative caravan.
22.4 Unless Caravan Holidays North Wales is expressly stated to be the accommodation supplier, Caravan Holidays North Wales does not guarantee the availability of alternative accommodation in its own right.

23. Events Outside Reasonable Control
23.1 Caravan Holidays North Wales, acting as agent for the Owner, and/or the Owner may cancel, amend or suspend a booking where the caravan or holiday park cannot be made available due to events outside reasonable control.
23.2 Such events may include, without limitation:
- fire;
- flood;
- storm damage;
- power failure;
- gas, electrical or water supply issues;
- serious maintenance issue;
- safety issue;
- park closure;
- government restriction;
- epidemic or public health restriction;
- natural disaster;
- owner emergency;
- holiday park instruction;
- any event making the caravan unsafe, unavailable or unsuitable for occupation.
23.3 Where this happens, Caravan Holidays North Wales will try to assist with an alternative date, alternative caravan or refund from Owner Funds where appropriate.
23.4 Caravan Holidays North Wales and the Owner are not responsible for losses outside their reasonable control.

24. Right to Refuse Entry or Terminate Stay
24.1 Caravan Holidays North Wales, acting on behalf of the Owner, may refuse entry, terminate a stay or require guests to leave where there is serious breach of these Terms.
24.2 This may include, without limitation:
- non-payment;
- failure to pay the required security deposit;
- over-occupancy;
- unauthorised pets;
- anti-social behaviour;
- smoking or vaping inside the caravan;
- illegal activity;
- damage;
- threatening or abusive behaviour;
- breach of Park Rules;
- behaviour that risks safety, security or the Owner’s property;
- misuse of the caravan;
- failure to comply with reasonable instructions.
24.3 In these circumstances, no refund will be due and further charges may apply.

25. Guest Personal Belongings and Insurance
25.1 Guests are responsible for their own belongings.
25.2 Neither Caravan Holidays North Wales nor the Owner is responsible for loss, theft or damage to guest belongings unless caused by negligence or breach of legal duty.
25.3 Guests are strongly advised to arrange comprehensive travel insurance.
25.4 Travel insurance should cover cancellation, illness, injury, travel disruption, curtailment, personal belongings and any other risks relevant to your stay.
25.5 If items are left behind after check-out, Caravan Holidays North Wales will try to assist where reasonably possible, but we are not responsible for loss, damage, storage or return postage costs. Any return postage or packaging costs must be paid by the guest.

26. Access During Stay
26.1 Caravan Holidays North Wales, the Owner, holiday park staff, cleaners, maintenance providers or authorised representatives may require access to the caravan during your stay.
26.2 Access may be required for repairs, inspections, safety checks, maintenance, emergencies, suspected breach of terms, welfare concerns or park requirements.
26.3 Reasonable notice will be given where possible, except in emergencies or urgent situations.
26.4 You must not obstruct reasonable access where required for safety, maintenance, inspection or emergency purposes.

27. Complaints and Disputes
27.1 Any issue during your stay should be reported to Caravan Holidays North Wales as soon as possible so that it can be raised with the Owner or relevant provider.
27.2 Caravan Holidays North Wales will act as the first point of contact and will try to assist in resolving issues.
27.3 Caravan Holidays North Wales acts as agent and administrator for the Owner and does not accept liability for matters that are the responsibility of the Owner, holiday park or third-party provider.
27.4 Complaints after departure should be made in writing within 7 days of check-out where possible.
27.5 If you do not report an issue during your stay and give a reasonable opportunity for it to be investigated or resolved, this may affect any remedy available.
27.6 If a dispute cannot be resolved informally, the parties should consider mediation before legal action where appropriate.

28. Data Protection
28.1 Caravan Holidays North Wales will process your personal data for booking administration, payment processing, guest communication, park requirements, security deposit administration, damage claims, owner reporting and legal/accounting purposes.
28.2 Your personal data may be shared with the Owner, holiday park, cleaners, maintenance providers, payment processors, booking platforms, insurers, professional advisers, debt recovery providers or authorities where reasonably required.
28.3 Caravan Holidays North Wales will handle personal data in accordance with applicable UK data protection laws.
28.4 The Owner may also process guest information where required for the accommodation booking, security, park compliance, damage claims or legal purposes.
28.5 By making a booking, you agree that Caravan Holidays North Wales may share relevant booking and guest information with the Owner and other relevant parties where necessary to administer your stay.

29. Limitation of Liability
29.1 Nothing in these Terms limits or excludes liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation or any liability that cannot legally be excluded.
29.2 Subject to clause 29.1, Caravan Holidays North Wales’ liability is limited to losses caused by Caravan Holidays North Wales’ own failure to provide its booking and management services with reasonable care and skill.
29.3 Subject to clause 29.1, the Owner is responsible for the supply, condition, safety, availability and suitability of the accommodation.
29.4 Caravan Holidays North Wales is not liable for:
- acts or omissions of the Owner;
- acts or omissions of the holiday park;
- park facility closures;
- weather;
- travel disruption;
- guest illness;
- third-party platform issues;
- third-party service failures;
- loss of enjoyment caused by matters outside Caravan Holidays North Wales’ reasonable control;
- indirect losses;
- business losses;
- loss of profit;
- loss of opportunity.
29.5 These Terms do not affect your statutory rights as a consumer.

30. Governing Law and Jurisdiction
30.1 These Terms and Conditions are governed by the laws of England and Wales.
30.2 The courts of England and Wales have jurisdiction, subject to any mandatory consumer rights that may apply.

31. Amendments
31.1 The Terms that apply to your booking are the Terms in force at the time your booking is confirmed, unless a change is required by law, required by the holiday park, required for safety reasons or agreed with you in writing.
31.2 Caravan Holidays North Wales may update these Terms for future bookings.
31.3 Changes to these Terms will not materially alter an existing confirmed booking unless required by law, required for safety, required by the holiday park, or agreed with you.

32. Important Booking Confirmation Wording
For agency bookings, your Booking Confirmation should clearly state:
Accommodation supplier: The caravan owner named or identified in this Booking Confirmation
Booking and management agent: Caravan Holidays North Wales
Payment collected by: Caravan Holidays North Wales as agent on behalf of the Owner
Guest communication: All communication must be directed through Caravan Holidays North Wales as the Owner’s appointed agent
Where the caravan is owned by VNPD Properties Limited / Caravan Holidays North Wales, the Booking Confirmation should instead state:
Accommodation supplier: VNPD Properties Limited t/a Caravan Holidays North Wales
