Owner Terms & Conditions

These Terms & Conditions outline the agreement between VNPD Properties T/A Caravan Can Do (“Caravan Can Do”, “we”, “us”) and property owners (“Owners”) whose properties are listed on the Caravancando.com website for holiday rental management. By listing your property with us or using our services, you accept and agree to these Terms & Conditions.

1. Description of Services

Caravan Can Do provides Owners with:

  • An initial consultation and continuous support;

  • Promotion of the property on our website and social media;

  • Management of the property’s booking calendar;

  • Guest concierge including handling enquiries and emergencies;

  • Communication of check-in and check-out details to guests;

  • Organisation of changeover and deep cleans (deep cleans at Owner’s discretion).

2. Duration of Agreement

2.1. These Terms & Conditions take effect upon acceptance by the Owner and remain valid until ended as described below.
2.2. Owners may request removal of their property from our website by providing one month’s written notice via email to [email protected]. Removal will take effect one month after we confirm receipt.
2.3. Caravan Can Do may remove a property or end this agreement with one month’s written notice, or immediately if the Owner breaches these terms.
2.4. Upon termination:

  • Advertising will cease for the property;

  • All unsettled payments will be paid within 7 days;

  • The Owner is responsible for fulfilling any bookings made prior to termination, or reimbursing us for any rebooking costs.

3. Fees & Payments

3.1. Owners pay an annual listing fee of £75, due in advance by January 1st each year.
3.1.1. For properties added mid-year, the first payment will be calculated pro-rata.


3.2. Owners are responsible for:

  • Changeover cleans;

  • Deep cleans;

  • Occasional carpet/upholstery cleaning;

  • A management fee of 15% of the total booking value per booking.

3.3. Our fees and cleaning charges (where applicable) are deducted from booking income before the Owner receives payment.
3.4. Payments to Owners are processed monthly, typically around the 15th, by bank transfer to the account nominated by the Owner.
3.5. Payments cover bookings where guests departed before the 1st of the previous month (e.g., August’s revenue paid in September).
3.6. Bookings spanning two months are paid in full in the month the stay ends.
3.7. If an Owner owes us money, Caravan Can Do may:

  • Withhold future payments;

  • Suspend the property listing;

  • Appoint a debt collection agency (Owner covers all collection costs).

4. Bookings & Payment Process

4.1. Bookings are confirmed weekly (each Sunday) for the upcoming week via email.
4.2. Owners receive booking details, terms, and property information for each reservation.
4.3. Check-in information is provided to guests before arrival.
4.4. We contact guests during their stay to ensure satisfaction and resolve any issues.
4.5. Security deposits may be taken at our or the Owner’s discretion.
4.6. After guest departure, the property is inspected and security deposits handled as per guest terms.

5. Cancellations

5.1. Guest cancellations are subject to:

  • For direct bookings via social media or our website: 50% of prepayments refunded if cancelled at least 7 days before arrival.

  • For bookings through external platforms: platform-specific cancellation fees apply. 5.2. If Caravan Can Do cancels a booking, guests are offered:

  • An alternative holiday of equal value (if available);

  • An alternative of lower value (with refund of the difference);

  • An alternative of higher value (guest pays the difference);

  • A full refund of all payments. 5.3. If the Owner cancels a confirmed booking less than one month before arrival, the Owner must:

  • Refund the guest in full within 24 hours;

  • Pay a cancellation fee, including any platform charges, as determined by CCD

6. Inventory & Property Condition

6.1. Owners must provide an up-to-date inventory of property contents via email or WhatsApp.
6.2. It is recommended not to leave valuable or personal items at the property, as guests are generally not known to us personally.
6.3. Owners are responsible for ensuring the property is suitable for rental and equipped with all essential items in working order.
6.4. Any pre-existing damage must be reported to us before guest arrival.
6.5. We will notify Owners of items that require replacement due to normal use.

7. Maintenance & Repairs

7.1. Owners are responsible for all routine maintenance inside and outside the property.
7.2. With Owner consent, we may arrange repairs with local contractors at the Owner’s cost.
7.3. We may use external cleaning companies for changeovers and deep cleans (except for ‘Advertise Only’ Owners).
7.4. We are not responsible for guest complaints about cleanliness.
7.5. Normal wear and tear is expected and not our responsibility; items damaged by guests may be deducted from their deposit.

8. Owner Obligations

8.1. Owners must ensure all utility bills and site fees are paid promptly.
8.2. Owners must provide and maintain:

  • Valid caravan insurance with public liability;

  • Annual gas safety certification;

  • Annual electrical and PAT testing. 8.3. The property must be equipped with a working smoke alarm, fire extinguisher, and first aid kit.

9. Payment Procedures

9.1. Owner payments are processed monthly, around the 15th.
9.2. Payments are made to the Owner’s nominated bank account.
9.3. If the Owner owes us money, we may:

  • Deduct it from future rental income;

  • Suspend the listing;

  • Use a debt collection agency (Owner pays collection costs).

9.4. We are not liable for payments sent to incorrect bank details provided by the Owner.

10. Owner’s Personal Use

10.1. Owners may use their property but must give notice by email or WhatsApp. Only written requests count as valid bookings. Our bookings take precedence if not notified in writing. Owners will receive confirmation of their reserved dates.
10.2. Our cleaning team must clean the property after Owner use and before the next guest, unless agreed otherwise in writing. Owners may cancel scheduled cleaning if requested at least 24 hours before arrival; otherwise, the full cleaning fee applies.

11. Indemnity

11.1. Owners agree to indemnify and hold Caravan Can Do harmless against any claims, losses, damages, costs, or expenses (including legal fees) resulting from:

  • Failure to meet these Terms & Conditions;

  • Owner or their agents’ negligence or misconduct;

  • Guest claims relating to property condition, except where caused by our direct negligence.

12. Insurance

12.1. Owners are responsible for maintaining adequate insurance, including:

  • Property and contents insurance;

  • Public liability coverage.

12.2. Proof of insurance must be provided at listing and upon renewal.

13. Access

13.1. Owners agree that our team or representatives may access the property as needed for:

  • Inspections;

  • Repairs or maintenance;

  • Addressing guest issues.

13.2. We will give reasonable notice (usually by email or WhatsApp), except in emergencies.

14. Multiple Clients

14.1. Caravan Can Do may manage properties for multiple Owners.
14.2. Owners may not appoint another service provider for the same services during this agreement.

15. Confidentiality

15.1. Both parties agree to:

  • Keep each other’s confidential information private;

  • Use such information only for fulfilling this agreement;

  • Not disclose confidential information to third parties.

16. Changes to Terms

16.1. We reserve the right to amend these Terms & Conditions at any time.
16.2. Owners will be notified of any changes at least 14 days in advance by email.
16.3. Continued use of our website or services after changes take effect means acceptance of the new terms. Owners who do not accept changes may end the agreement as described below.

17. Ending the Agreement

17.1. Either party may terminate this agreement with one month’s written notice.
17.2. If the Owner ends the agreement, a termination fee equal to the average monthly management fee from the previous 3 months will be payable to Caravan Can Do.

18. Governing Law

18.1. These Terms & Conditions are governed by the laws of England and Wales.

19. Dispute Resolution

19.1. Any disputes arising from this agreement shall be subject to the exclusive jurisdiction of the courts of England and Wales.
